Emirates National Oil Company Group (ENOC) for Oil & Energy is currently seeking to hire an Emirate Admin Assistant who will be responsible for the following tasks
Duties and Responsibilities
Your main responsibilities in this role include the following:
Typing, process and handle all correspondence e.g. memos, administration materials, normal faxes, etc.
Prepare PRs for department in Oracle and send it for necessary approval.
Liaise with ENOC on the P.O. and forward the same to Accounts section.
Assist in preparation of fairly complex reports / documentation (often technical in nature) as required e.g Department Score Card.
Document control - Preparation of all administration documents and ensure receipt of the same after signature (approvals, new account opening, inter-office memos, etc.
Organizes and maintains departmental files- ensures all documents are in placed in the respective files and open new files and periodically take out the dormant files.
Follow-up with other department for purposes of information gathering
Schedules meeting and prepare minutes and circulates the same as advised
Coordinates conferences/events/activities e.g. arrange venues, hotel booking, etc. for Emgas programs/special functions
Receives department visitors-serve as administration receptionist and handles visiting customers
Acts as lead worker in a variety of office functions
Attends to AQ switchboard / incoming telephone calls when operator is not available.
Performs related duties as assigned.
Job Requirements
High School or Diploma graduate from a recognized institution.
5 – 7 years experience in a similar senior secretarial/administrative role.
Very good communication skills.
Knowledge of other languages: Arabic/Urdu/Malayalam will be advantageous.
Proficient in MS Office applications
